Delete your KairoFlex account
Last updated 26 October 2026
1. How to ask us to delete your account
There is no delete button in the app yet, so a deletion request is made by email:
- Send an email to contact@kairofit.in from any email address, with the subject line "Delete my KairoFlex account". In the message, give the mobile number registered on your KairoFlex account and, if you are a member of a gym that uses KairoFit, the name of that gym.
- We verify the request through the mobile number registered on the account — usually by sending a one-time code to that number and asking you to reply with it, or by asking you to confirm from that phone. We never skip this step, so nobody else can delete your account.
- Once verified, we delete the account within 30 days and confirm by SMS to that number or, if you ask, by email. If anything prevents deletion, we tell you why within the same period.
The request is free. You can also ask us, in the same email, for a copy of your diary and goals before they are deleted.
2. What we delete
Everything KairoFit LLP holds about you as Data Fiduciary — that is, the data behind your KairoFlex account:
- your KairoFlex sign-in and — if no gym that uses KairoFit holds you as a member — your account record: name, mobile number, email address and member code (if a gym does hold you as a member, those details are part of its own records and stay with it, as Section 3 explains, but they can no longer be used to sign in to KairoFlex);
- your goals and body details — goal, diet type, age, height, weight, activity level and targets;
- your entire food diary and every custom food you created;
- your weekly attendance goal;
- your sign-in tokens, one-time code records and any pending email-verification link.
3. What we do not delete, and why
- Records your gym holds as its own. If a gym that uses KairoFit has registered you, its membership, plan, payment, attendance and consent records — and any receipts, tax invoices or other GST documents it issued you — belong to the gym as their Data Fiduciary. They stay in the gym's account under its retention rules and the laws that bind it (money and tax records must be kept for years). Ask your gym to correct or archive them; the Member Data Notice explains your rights against it.
- Your consent and acceptance records. The record of the consents you gave in the app and of your acceptance of the Terms of Use is kept for 3 years after deletion, in a minimal, access-restricted form, as evidence of what you agreed — the law puts the burden of proving consent on us. It is used for nothing else.
- A minimal deletion log. We keep a short record — the mobile number concerned and the dates the request was received and completed — for up to 1 year, to show the deletion happened and answer any later query, then delete it.
- Anything a law requires us to keep, for only as long as that law requires.
4. What happens after deletion
- You lose access to the app and to everything listed in Section 2. Deletion cannot be undone.
- The same mobile number can sign up again later, but it will be a new, empty account with no diary or history (if a gym still holds you as a member, your memberships appear again, because they are the gym's records).
- If a KairoFit gym still has you as a member, its records continue and it can still serve you at the front desk — check you in, renew your plan, issue receipts. Deleting your KairoFlex account does not end your gym membership; only your gym can do that.
- You no longer appear on any gym's KairoFlex leaderboard.
5. If you do not want to delete everything
- Stop tracking, keep the account. Turn off "Health & fitness data" on the Permissions screen (Profile → Permissions): the diary, goals and targets stop at once while membership and check-in keep working. You can also delete individual diary entries in the app at any time.
- Leave the leaderboards. Email us with "Leaderboard opt-out", your registered mobile number and your gym's name.
- End a gym membership. Ask your gym to archive your membership; your KairoFlex account then continues as a plain calorie tracker.
6. In-app deletion is coming
We are building account deletion inside the app. Until it ships, the email route above is the way to delete your account, and we will update this page when it is available. The KairoFlex Privacy Policy explains how we handle your data, how long we keep it and your other rights; the KairoFlex Terms of Use describe ending your account.
