Getting started and signing in

How do I get a KairoFit account?
Buy a membership on Get Started: your name, mobile number, email and billing details, a one-time code to your phone, then payment through Razorpay. The account is live the moment the payment is confirmed — sign in at app.kairofit.in or in the KairoFit app with the same number. Prefer to see it first? Book a demo.
I didn’t receive the sign-in code.
Codes arrive by SMS within a minute from our registered sender. Check the number, then use “Send again”. Each number can request three codes in a row; after that a short cooling-off period applies and the screen counts it down, growing a little each time. Owners, admins and staff with an email on file can also choose to receive the code by email at sign-in. Still stuck? Send us the number through the form below.
Why can’t I sign up from the app?
Owner accounts are created on the website when you buy a membership (or by us, for a trial we set up). Admins and staff don’t sign up at all — the owner adds them under Settings → Staff & roles, and the person gets a one-time code on their own phone to confirm. “No account found” at sign-in means the number isn’t on any gym yet.
Can I use the web app and the mobile app together?
Yes. One account, the same live numbers on both. The web app at app.kairofit.in is ready today; the Android and iOS apps use the same sign-in.

Members, plans and payments

Why does a member get a code when I add them?
You enter the number, the member receives a six-digit code naming your gym, you fill in their details and go through the consents with them, and the member reads the code back to you. That read-out is their consent (see the Member Data Notice). The code is tied to the details on the form: change anything after sending it and you’ll be asked to send a fresh one.
What’s the difference between “Collect ₹X” and “Renew”?
Collect settles what the member already owes, oldest open cycle first — dues are counted per member, across every open cycle. Renew starts a new plan cycle and records its payment. Both live on the member’s page; Collect is disabled when nothing is owed.
I recorded a payment wrongly. Can I edit it?
Payments are never edited — reverse it from the receipt (a reason is required), then record it again. Owners and admins can reverse at any time; staff only within a short window after recording. If the payment carried a tax invoice, the reversal issues a credit note automatically.
How do I archive a member who still owes money?
Only an owner or admin can archive. If the member has open dues you’ll be asked to write them off first — a write-off is final and appears on the member’s activity timeline. Unarchiving later brings the member back with a clean slate.
Can I pause a membership?
Yes — Pause from the member’s page, Resume when they are back. The frozen days are added to the end date, so nobody loses paid time.

Receipts, GST and invoices

Do members receive a receipt automatically?
If the member’s record has an email address, the receipt — or the tax invoice or bill of supply for a GST-registered gym — is emailed as a PDF from “<your gym> via KairoFit” the moment the payment is recorded, with a copy to the owner and to any admins the owner has switched on. No email on the record? Share it on WhatsApp from the receipt screen.
How do I set up GST?
Settings → Tax & GST (owners and admins): enter your GSTIN and legal name, then add a dated rate version — regime, heads such as CGST/SGST, SAC and the date it takes effect. From that date every payment mints a Tax Invoice (regular scheme) or Bill of Supply (composition). Prices in KairoFit are GST-inclusive, so the tax is split out of what the member pays.
Can I edit an invoice or a rate that has been used?
No — issued documents are immutable, which is what makes them a record. Reverse the payment (that issues a credit note) and record it again. A rate version that an invoice already cites can’t be changed or deleted either; add a new version with a later effective date instead.
Where is the GST summary and how do I export it?
Settings → GST summary (owners and admins) shows month-by-month taxable value and tax, with every invoice, bill of supply and credit note behind it, for any range up to 12 months. Share CSV exports the rows for your accountant.
Why is a payment asking for the member’s address?
A tax document of ₹50,000 or more must carry the recipient’s address (CGST Rule 46). Add it inline and the payment goes through; it is saved on the member’s record for next time.

Your KairoFit subscription and billing

What does KairoFit cost?
₹1,500 a month or ₹15,000 a year for your gym; each extra gym under the same owner is ₹1,000 a month, billed monthly on either plan. GST at 18% is added. Unlimited members and users on every plan — see Pricing.
How do I pay, and will I be charged automatically?
Through Razorpay. A monthly plan runs on a UPI Autopay or card mandate you approve once; each month’s charge is taken automatically and your UPI app or bank tells you before it. An annual plan is paid for 12 months up front and does not renew by itself — we remind you before it ends.
Where are my KairoFit invoices?
A GST tax invoice is emailed to your billing email after every charge and listed under Settings → Billing in the web app, where you also keep your billing name, address and GSTIN up to date.
What happens if a charge fails or I stop paying?
Razorpay retries a failed charge over the following days. Three days after the paid period ends without a successful charge, the gym turns read-only: everyone can still sign in, see everything and export, but nothing new can be recorded and members can’t QR check-in. It unlocks the moment a payment goes through.
How do I cancel?
From Settings → Billing in the web app, or by email from the owner’s registered address. You keep full access until the end of the period you’ve paid for; a period that has already started isn’t refunded (Terms, section 11).
Is there a trial or a discount?
If you have a coupon code, enter it on the first step of Get Started and the price updates before you pay. A trial code makes the first days free — Razorpay authorises your mandate with a ₹5 token that is refunded, and the first charge lands on the date shown. No code? Talk to us.

Staff, admins and more than one gym

What can an admin do that staff can’t?
Staff work the front desk: members, check-ins, payments and their own expenses — never a member’s date of birth, gender or health note, and nothing in Settings. An admin has the owner’s powers at that gym: the payments ledger, GST, insights, outreach, expense approval, every setting and adding or removing staff. Only the owner manages admins, the subscription and who receives invoice copies.
How do I add or remove staff?
Settings → Staff & roles. Enter the person’s name and number and pick a role; they get a one-time code to confirm. Removing someone takes effect immediately, even mid-session, and works even while the gym is read-only.
I run more than one gym.
Each gym is its own subscription with its own members, settings, staff and numbers; switch between them from the gym picker. To add a gym to your membership, write to us at support@kairofit.in — each extra gym is ₹1,500 a month plus GST, billed monthly on either plan.

Your data, privacy and deletion

Where is my data stored and who can see it?
In India — database and photos on Supabase in Mumbai, servers in Bangalore. Only the people you give a role at your gym can see its data; we never sell it or use it for advertising. The Privacy Policy has the full picture.
How do I export my data?
The GST summary CSV is in the app any time. For a full export — members, plans, payments, documents, attendance, expenses — email contact@kairofit.in from the owner’s registered address; we send it within 30 days, and for 30 days after a subscription ends.
A member wants their data corrected or deleted.
Correct name, email, address or photo from the member’s page (the member confirms with a code). Archive stops all use of the record. For erasure beyond that — a health note, or identifiers on records the law lets you keep — email contact@kairofit.in from the owner’s address and we act within 30 days.
How do I delete my KairoFlex account?
Follow Delete your KairoFlex account. We verify the request through your registered mobile number and complete it within 30 days.

KairoFlex, the member app

What is KairoFlex and does it cost anything?
A free app for members (18 and over): your memberships and plan dates, QR check-in, streaks and leaderboards, plus a private calorie and macro tracker your gym never sees. Nothing to buy, no ads — see KairoFlex.
My gym membership doesn’t show in KairoFlex.
KairoFlex keys everything on your mobile number. Sign up with the exact number your gym registered — the membership appears on its own. If it still doesn’t, ask the front desk to check the number on your record.
My QR check-in was refused.
Check-in is refused when the membership is paused or expired, or while the gym’s own KairoFit subscription has lapsed. Ask the front desk — staff can override an expired membership if the gym allows it.
